This privacy policy is directed at the users of the Labmate AuthRes App.

Busysoft Systems Private Limited, with its registered office in Delhi (India), hereinafter referred to as “Busysoft”, develops and manages websites, online software and mobile apps, including the Labmate-AuthRes Android App. This application will be used by medical diagnostic laboratories, i.e., healthcare providers, hereinafter referred to as “Client (s)”. The application (mobile app) is intended for result checking and authenticating by reporting doctors. These reporting doctors, hereinafter referred to as “User” when referring to the “users of the app”. These generally are pathologists, microbiologists, radiologists and other such doctors who are authorised by medical diagnostic laboratoriesand/or legal representatives of the healthcare providers.

The Labmate AuthRes application (part of the Labmate.net ERP LIMS suite) operates as a high-security professional tool designed for pathologists and radiologists to securely review and authenticate diagnostic reports from mobile devices. Given that this application handles Protected Health Information (PHI) and sensitive professional credentials, its privacy framework is governed by a combination of global healthcare standards and updated 2025 regional regulations, such as India’s and HIPAA.

Below is a detailed breakdown of the privacy policy principles and data handling practices for the Labmate AuthRes app as of late 2025.

Overview of Data Collection and Purpose

The primary function of the AuthRes app is "Report checking, authentication, and release". To achieve this, the app collects specific categories of data necessary for professional verification and clinical workflow.

  • Professional Credentials: For medical professionals, the app collects names, password-based authentication data.
  • Clinical Data (PHI): The app accesses patient diagnostic data, including lab results, radiology images, and clinical histories, solely for medical review and authentication.
  • Audit and Technical Logs: Under current (2025) regulations, the app maintains a mandatory one-year log of all access attempts, modifications, and authentication actions to ensure a complete audit trail.
  • Purpose and target group privacy statement: The privacy statement provides Data Subjects/Users and healthcare providers who use the Labmate AuthRes App with an understanding of how Busysoft processes and protects Personal Data on instructions from the Clients. Although Busysoft cannot be considered the Controller of the processing in the Labmate AuthRes App, it is aware, for reasons of transparency, of the importance of providing information about the processing of Personal Data. Data is used exclusively to enable the "authentication and release" of reports, maintain regulatory compliance (ISO 15189, 21 CFR Part 11), and improve diagnostic accuracy through remote oversight.
  • Labmate AuthRes App data and the purpose of processing: The purpose of processing in the Labmate AuthRes App is to help the users, i.e. “Reporting doctors”, to check and authenticate the patient results using mobile. The data collected or used by the app includes:

This data is not stored in the Labmate Outreach App. These contents are collected and submitted via APIs and are stored in the online Labmate Outreach Management application database.

Security is the cornerstone of the Labmate AuthRes platform, utilising multi-layered defences to protect against unauthorised access to medical records. Busysoft takes appropriate technical and organisational security measures to protect Personal Data against loss or any kind of unlawful processing. As an organisation, Busysoft is committed to information security and quality management. Busysoft has ISO 9001 (quality management) certification and is in the process of acquiring certification for ISO 27001 (information security).

The security measures taken about the Labmate AuthRes App include, amongst others:

  • Encrypted transport of data
  • Encrypted storage of user data
  • 2-factor authentication
  • Obligation of secrecy for the staff of Busysoft
  • Logging actions in the system
  • Encrypted storage of data in the local storage of the smart device of the end user.

Advanced Security Safeguards are:

  • Authentication and Access Control: The app employs Access Control (RBAC), ensuring that a pathologist or radiologist can only access departments or tests for which they are specifically authorised. This is supplemented by Multi-Factor Authentication (MFA) and secure login sequences that include automatic logoffs after periods of inactivity.
  • Encryption Protocols: All data is encrypted at two critical stages:
    • In Transit: Using industry-standard TLS 1.2+ and SSL protocols to protect data moving between the mobile device and the central LIMS server.
    • At Rest: Data stored on servers or temporarily cached on devices is encrypted using AES-256 or equivalent robust algorithms.
  • Digital Signatures: Authentication actions often require a secure digital signature to prevent signature misuse and ensure that only verified medical practitioners have authorised a report.

Busysoft cannot be held liable if unauthorised persons gain access to the Personal Data through actions outside the control of Busysoft.

2025 Regulatory Compliance Framework:

The Labmate AuthRes app is designed to align with several key legal and clinical standards:

  • Digital Personal Data Protection (DPDP) Rules 2025 (India):
    • Data Fiduciary Responsibility: Laboratories using Labmate are classified as "Data Fiduciaries," making them responsible for the lawful and secure processing of digital patient data.
    • Breach Notification: In the event of a security breach, authorities and affected individuals must be notified without undue delay, typically within 72 hoursby the Data Controller(s), i.e. clients. Where necessary and possible, Busysoft is obliged to cooperate with this.
    • Right to Erasure: Users (patients via the lab) have the right to request the deletion of their health data once the medical purpose is fulfilled, unless legal retention mandates apply.
  • Clinical Standards:
    • ISO 15189 & 21 CFR Part 11: The software provides features that support international standards for medical laboratory quality and the use of electronic records/signatures.
    • NMC Clarification: It is critical to note that as of early 2025, the National Medical Commission (NMC) in India has clarified that remote authentication should not replace physical supervision in a laboratory environment to ensure report accuracy and ethical standards.

User Rights and Data Retention

Under the 2025 privacy regime, professional users and patients have enhanced control over their information:

  • Right of Access and Correction: Medical professionals can review and update their profile information directly within the platform.
  • Data Retention Norms: Personal identifiable information (PII) is retained only for as long as necessary for the clinical purpose or as required by law (e.g., medico-legal needs). The checking status, authentication status and geolocation data are stored in the Labmate.net ERP LIMS application database and are retained for monitoring and controlling purposes by the clients. Busysoft has no control over the purpose and usage of this information.
  • Consent Withdrawal: Users can withdraw their consent for data processing at any time, which may involve disabling their access to the AuthRes platform.

Changes to the privacy statement

Busysoft reserves the right to change the privacy statement from time to time if necessary due to changes in legislation or other developments. These changes are communicated by push notification to Users of the Labmate AuthRes app. You can also find an update of the latest version of the privacy statement in the app. Busysoft is not responsible if the push notifications function on the User’s device has not been activated.
